The role holder is responsible for directing, developing and motivating staff and for  productive and effective collaboration with the broader multidisciplinary management team to ensure patients undergoing fertility treatments are given the highest standards of care and service.

 Summary of Role

The key objective of the Scheduling Nurse Manager role is to ensure the effective and efficient operation of the Sims Scheduling Nursing Department.

The role holder is responsible for directing, developing and motivating staff and for  productive and effective collaboration with the broader multidisciplinary management team to ensure patients undergoing fertility treatments are given the highest standards of care and service.

The Scheduling Nurse Manager is responsible for ensuring all nursing and  administrative nurse staff adhere to the provision of the highest quality patient centred  service whilst at all times ensuring adherence to HPRA standards and Irish and European legislative requirements.

 

The role holder reports to the Group Head of Nursing on day to day clinic operational matters and on all Nursing related policies, procedures, practices and processes. The Scheduling Nurse Manager may be required to deputise for the Group Head of Nursing providing nurse management and leadership in her/his absence. The Scheduling Nurse Manager must have the ability to manage across all Nursing functions when required.

Educational / Registration Requirements/Professional Experience

Academic/Professional Qualifications

                               ·Qualified Registered Nurse and/or Qualified Registered Midwife

Registrations

                               · Current INMB Registration   

Relevant Experience

                               · A minimum of 2 years IVF Nursing experience or 10 years plus General Nursing Experience

                               · Previous nurse management experience.

 

Languages

                               ·Fluency in English language – Advanced level - written and verbal

· Excellent understanding of and adherence to EU Cell and Tissue Directive and the clinic responsibility regarding screening couples.

· Excellent understanding of and adherence to Data Protection/Confidentiality ensuring self and nursing team follow established policies and procedures

 · Obtaining Consent - ensures self and nursing team follow established policies and procedures.

 

Scheduling

  • Strong competence in Scheduling IUI/TSI cycleFET cycleIVF cycle
  • Strong competence in scheduling PGS cycles and known donation cycles
  • Excellent understanding of IVF medications and side effects
  • Excellent understanding of all available tests and treatments
  • Strong competence in training nursing team in Investigation Consultation and Scheduling.

 

Telephone Counselling and Support

  • Strong competence in providing clear and concise feedback and education to patients by telephone.
  • Ability to deliver information in a constructive and sympathetic manner
  • Follows established telephone process and procedures.
  • Ability to train and coach staff in best practice telephone communication and counselling techniques.
  • Management of care calls and patient follow up
  • Management of the on-call rota

 

Administrative Team Management

  • Day to day management and coordination of the administration team
  • Ensure administrative team work cohesively to deliver key department targets

 

Scanning

·        Working knowledge of Ultrasound scanning.

 

Theatre and Recovery

·        Working knowledge of theatre and recovery

 

Information Technology

                                ·           Strong competence in the use of Microsoft office

                                ·           Strong competence in the use of all aspects of patient databases

 

Infection Control /Health and Safety

                                ·           Competent in and an advocate for the following procedures

Management of IVF Nurse Policies, Procedures and Processes

·Maintains nursing guidelines by providing support in writing and updating policies and procedures when required for Quality Department review.

·Maintains effective nursing operations by initiating, coordinating, and enforcing clinical and HR policies and procedures.                                  

·Assures quality of care by enforcing adherence to clinic policies and procedures and governing agency regulations (HPRA) measuring outcomes and recommending adjustments.

Roster Management

  • Publishes weekly staff rosters for complete nursing team across the three departments, ensuring adequate staffing levels are maintained.
  • Allocates sufficient time in all areas to junior staff for completion of competencies.
  • Day to day management of leave application and absenteeism
  • Ensures accurate records of attendance and absenteeism are maintained

              

 Management of Finance/Budgets

                                 ·          Adheres to Nursing Department annual budget expenditure targets.

                                 ·          Ensures staff compliance with processes in place to grow clinic revenue streams.

                                 ·          Weekly monitoring of IVF Cycle numbers (Bible)

                                 ·          Weekly updating and reporting of cycle numbers and forecasts

 

Marketing

                                ·           Maximises organisational awareness through the support of Sims Group marketing initiatives and helps support plans to deliver the appropriate message to existing and future patients/ clients.

                                ·           Gives competent talks or presentations as and when required to promote company profile in line with marketing strategy.

Terms and Conditions of Employments

Working Hours

37.5 hours - between the core hours of 7:00 and 18:00, Monday to Friday. Occasional weekend required
